Guidelines
Four categories are included in the rental rate schedule. The categories are based not on event type (i.e., meeting, conference, banquet) or size, but rather on event sponsor. The four categories and their definitions are listed below.
A group qualifies as a student organization if the group is recognized by the Oshkosh Student Association (OSA). Following approval by OSA and the Dean of Students office, a group may reserve Union facilities at no charge when no fees are charged to participants. This policy applies to standard room setups during normal Union operating hours.
Recognized student organizations that receive funding from the Student Allocation Committee may hold fundraising events without additional charges. Recognized student groups holding events involving admission fees, grant funding, donations, fundraising for benefits or registration fees will be charged one-half of the nonprofit rate. Requests to waive room rental fees may be considered by the Reeve Union Director.
A program qualifies as a University department event when the space is reserved by a UW Oshkosh department staff member. The rates on the following chart are for standard room setups during normal Union operating hours. When a University department is sponsoring events for nonprofit or for profit community groups, collection and payment of rental fees will be the responsibility of the sponsoring University department.
Nonprofit community groups that wish to reserve Union spaces may do so if space is available, however, University functions have priority. Proof of the group’s tax exemption status is required, along with a deposit of 50% of the room rental fee (to be received within five business days of reservation confirmation).
For profit community groups and businesses wishing to reserve Union spaces may do so if the space is available, however, University functions have priority. Rates on the following chart are for standard room setups during normal Union operating hours. All reservations must be made with the Reservation Office at least 72 hours in advance of the event. Exceptions will be made occasionally under unusual circumstances. Rates include standard setup, Reeve Union supervision and normal cleaning. Depending on the needs and the nature of an event, there may be additional charges, including fees for audiovisual equipment, technicians, security, setup labor, operation beyond normal business hours, and other than normal cleanup to restore facilities to pre-event condition.
Sales tax is added for all groups that do not provide proof of Wisconsin tax-exempt status. Rental and food service invoices are mailed upon the completion of your event. Any outstanding charges are payable within 30 days of invoice date.
