Food Fundraising

Food Fund-Raising/Resale


Any group or organization affiliated with UW Oshkosh must receive permission from University Dining in order to sell food items on campus. This is a requirement in order to meet health code requirements and because of the University contractual agreements for food service. Requests should be directed to the Office Manager, University Dining, Blackhawk Commons (#2391) or email your request to thull@uwosh.edu. Please include the following information:

  • Purpose of event
  • Organization name and phone
  • Day / date of event
  • Time of event
  • Location of event
  • Menu (For food safety, menus must be approved in advance by University Dining)
  • Contact Name, email, and phone number
  • Alternate contact information
  • Residence Hall (if applicable)


By contractual agreement, Sodexho Services has first right of refusal to supply food and service for fund-raisers. If they cannot or choose not to assist in providing the food, the organization requesting may be allowed to go to an off-campus vendor.

If food is to be prepared, or is considered a potentially hazardous food item, the Oshkosh City Health Department and UW Oshkosh require the organization to purchase a health permit from City Hall and follow the guidelines provided by the City of Oshkosh Health Department. Note that some residence halls purchase an annual permit. Please check with your Residence Hall Director for more information. A copy of the health permit must be kept on file at University Dining in Blackhawk Commons. Once the permit and request is filed, an official email will be sent to the organization/individual that will specify the exemption granted and the specified event, date, and products planned to be prepared and sold. If the organization is using University funds, a copy of the exemption must accompany the meal requisition or payment requisition.

If a health permit is not purchased, the student organization may lose all rights to be allowed to have fundraisers on campus.

Notes:

  • Permits for 3 or fewer events per year (July 1 through June 30) are $40.00 as of 8/25/03.
  • Permits for temporary Restaurant for more than 3 events per year (July 1 through June 30) are $105 as of 8/25/03.
  • All events requiring reimbursement must have a Meals Requisition and a Food Waiver (when purchasing food from sources other than Sodexho over $100) completed and turned in with proper receipts.
  • Items not requiring a food permit include but are not limited to Bake Sales, Puppy Chow, Pizza for Resale which is cooked and provided by a commercial vendor, Popcorn and Cotton Candy.
  • Items requiring a food permit include but are not limited to Hot Dogs, Bratwurst, B.B.Q., Hamburgers, Chicken, Corn, etc.
  • To lessen the chance of health problems with cookout style foods, pre cooked foods are recommended. Hot dogs, brats, burgers and chicken all come in a pre-cooked form. These should be kept frozen or below 38 degrees F° just prior to cooking.
  • When cooking out a hand wash station must be set up, to include some source of running water, hand soap, and disposable hand towels. This can be set up with plastic insulated beverage containers with a spigot.

General Guidelines - Proposing an Ethnic Dinner

1. A request for an ethnic dinner should be sent by the sponsoring organization to the Assistant Director for University Dining 30 days in advance of the proposed event.

  • Included in the request should be the proposed date, time, and location of the ethnic dinner.
  • Our contracted food service has extensive ethnic recipes available to them and will obtain recipes for foods that are requested. The contractor should be contacted first to discuss the desired menu. If they are unable to prepare the items requested, the group will then be allowed to make a request to use an outside caterer.
  • When requesting a waiver to use an outside caterer, address the request to University Dining via email at thull@uwosh.edu. Include the name(s) and contact information of the person / people who will be preparing the food, and if they have any affiliation with any restaurant / caterer.

Restrictions - Holding an ethnic dinner independent of the dining contractor

  • Sponsoring organizations are not allowed to charge participants for ethnic meals.
  • China is to be rented at the expense of the organization, although they may use Reeve Union’s china.
  • If Reeve Union’s china is utilized there will be a handling fee and a charge for any breakage from the contractor.
  • If china is rented, Reeve Union will not store the china before or after the event due to limited storage and liability concerns.
  • Other supplies such as chaffing racks and pans for the buffet line can be provided by the contracted food service. A handling fee will be charged (minimum $40.00) based on the quantity of supplies used.
  • All kitchens and serving areas must be properly cleaned and sanitized. All trash must be removed to the appropriate dumpsters, and trash cans relined with clean trash bags. The organization will be charged an hourly rate of $23 for each service person needed for service.
  • Organizations must obtain a health permit from the City of Oshkosh Health Department unless the event involves on-campus individuals only.
  • One ethnic dinner per culture per year is allowed (i.e. Asian, Native American, Hispanic, African Americans). These organizations must adhere to this policy.
